Manage Booking Settings
This guide provides instructions on how to edit booking settings, including rescheduling and cancellation rules, applicable fees, time limits, and other important scheduling options.
Understanding Terminologies
Booking Settings
Booking settings refer to the customizable options that define how appointments are scheduled, managed, and modified. These settings typically include availability, rescheduling and cancellation policies, time limits, fees, and other preferences that control the booking process.
Edit Booking Settings
- The user can edit booking settings by accessing the "Booking Settings" through two entry points.
- Turn on Patient Portal Registration, enter the Wallet Item Expiration, and select Booking Settings Configurations from the dropdown menu.
Note: “Patient Portal Registration” allows patients to create an account and access online services such as booking appointments, viewing medical records, and managing their profile. “Wallet Item Expiration” defines how long prepaid services, gift cards, or credits remain valid before expiring. Selecting “General” applies the booking settings to all services and providers, preventing individual customization. Selecting “By Provider” enables custom booking settings per provider. Selecting “By Service” enables custom booking settings per service.
- Set the Minimum Time Before a Patient Can Book (in minutes), then check the box to allow rescheduling. If enabled, enter the Minimum Time Before a Patient Can Reschedule (in hours). Next, check the box to allow cancellations. If enabled, enter the Minimum Time Before a Patient Can Cancel (in hours).
- From the dropdown menu, select whether to allow refunds and choose from "Don't Allow," "Full," or "Partial" options.
Note: “Don’t Allow” means no refunds will be issued. Selecting “Full” allows full refunds to be issued if the cancellation is within the allowed timeframe. “Partial” means that partial refunds will be issued based on your set policy.
- If you select Partial Refunds, specify the refund percentage.
- Select the Cancellation Fee Type from the dropdown menu.
Note: “Cancellation Fee Type” refers to calculating the cancellation fee when a patient cancels an appointment. It can be set as a fixed amount in $ (dollars) or a percentage (%) of the total booking cost.
- Enter the Cancellation Fee, and once all details are complete, click "Submit" to save your booking settings.
The booking settings have been saved successfully!
Set Booking Settings While Adding / Editing a Provider
- You can add or edit a provider from the Providers List Screen accessible via two entry points.
- To create a new provider, click the "New Provider" button in the top right corner of the screen. To edit an existing provider, click the three dots in the action column and select "Edit."
- In Step 3 of adding or editing a provider, set up the booking settings and click "Submit" to save your changes.
The booking settings have been successfully saved!Note: Booking settings can be edited here only if the configuration is set to "By Provider."
Set Booking Settings While Adding / Editing a Service
- You can add or edit a service from the Services List Screen accessible via two entry points.
- To create a new service, click the "New Service" button in the top right corner of the screen. To edit an existing service, click the three dots in the action column and select "Edit."
- In Step 3 of adding or editing a service, complete the additional details, including booking settings, and click "Submit" to save.
